What we would collect

For the waitlist: email, region, interest in joining or coordinating, preferred trip format, passion, optional vehicle and note, language, source, notice version, and the separate optional choice about updates. For proposals: email, name or alias, title, type, area, description, optional timing, group size and public profile, language, source and notice version. Submission and choice timestamps are also stored.

Why and on what basis

We would use waitlist data to evaluate beta interest, contact you about your access request and invite you when a relevant group is ready. We would use proposal data to review your idea, clarify details with you and decide whether to develop it. The legal basis for these necessary request-handling purposes is still under review; collection remains closed until it is confirmed. The separate optional checkbox would cover VanTribes news and stories by email, based on your consent; leaving it unchecked would not affect your request. We do not currently send a newsletter from this flow.

A proposal is reviewed privately. It is not an event listing, reservation or promise to publish. We do not sell lead data or use it for ads.

Where data goes

The current VanTribes database is hosted by Supabase in the US West region. This means beta form data, if collection is enabled, would be stored in the United States. Vercel hosts the website and handles technical request data. We are checking the applicable processor terms and international transfer safeguards before opening collection. Any future email delivery provider will be named here before it is activated.

How long

Proposed maximum: 24 months from the latest waitlist submission or from a proposal's submission, if it has not led to beta participation or an active collaboration. We would review these records monthly and erase or anonymise those no longer needed. If you join the beta, the account privacy notice and its retention rules will apply to account data. Legal claims or obligations may require a separate, limited retention period. This schedule must be approved and made operational before the forms open.

Your choices and rights

You may ask for access, correction, deletion, restriction, portability where applicable, or object to processing. You may withdraw consent at any time by emailing the address above; this does not affect processing already carried out lawfully. You can complain to the Italian data protection authority or the authority where you live. We do not use automated decisions to approve participants or publish proposals.
